X Bar Ranch Nature Retreat is an exclusive ranch property where every guest reservation is both important and special. Thank you for choosing to stay with us. We have tried to allow for maximum flexibility for you when crafting our policies. Please review them below and do not hesitate to contact us if you need clarification.
Payment: All reservations require a 100% advance payment made at booking. Please be advised that the retail descriptor on your credit/debit card statement may show X Bar Ranch Nature Retreat or Generation Seven Mgt.
Standard Deposit/Cancellation Policy: Applies to all reservations except those related to special events, holidays or group reservations.
Deposit: Value of one night’s stay per rented unit
Cancellations:
Holiday, Group and Special Event Deposit/Cancellation Policy: Applies to all reservations made in relation to federally recognized holidays, group bookings and special events, including but not limited to star parties, family reunions, weddings, and retreats.
Payment: All holiday and special event reservations require a 100% pre-payment deposit made at booking. Group bookings have a $500 initial deposit to reserve the Rent-the-Ranch option.
Cancellations:
No credit for future stays will be given for cancellations during special events, and the following cancellation fees apply:
Driving Directions: Access our Contact Us page for a map link & written driving directions. DO NOT try using your GPS it will NOT work. Only use the Google map link and written driving directions provided on our Contact Us page.
Check-in: Advance reservations are required for all guests. For reservations at the Live Oak Lodge & Cabins, Bunkroom, Birdsong & Spiny Star check in at the Lodge. If we're not there, your room key as well as self check-in information will be out for you on the table. For Round House reservations, just go straight to the house and self check-in info will also be on the table in the house.
Check-out: 11:00 am, or later only if prior arrangements have been made and approved.
Note:
Deposit: Value of one night’s stay per rented unit
Cancellations:
- A $25 cancellation fee is applied if the cancellation is made in a month subsequent to when the reservation was made.
- There is no additional penalty for cancellations made at least 21 days before arrival date.
- Cancellations between 20 and 3 days prior to arrival date are subject to a deposit fee equal to one night’s stay. Deposit, minus a $25 processing fee, may be applied as credit for a future stay at X Bar Ranch; credit must be used within one year and can not be re-booked during special events or holidays. Remainder of advance payment will be returned.
- For cancellations within 72 hours of arrival date or no-shows, we regret there are no refunds or credits for late arrivals, early departures or cancellations, guest is responsible for full value of entire reservation.

Cancellations:
No credit for future stays will be given for cancellations during special events, and the following cancellation fees apply:
- Cancellations between 30 and 7 days prior to arrival date - if reservation is for 2 or 3 nights – deposit taken equals the value of two night’s stay; if reservation is 4 or more nights – deposit taken equals the value of four nights’ stay.
- Cancellations within 6 days of arrival date - full value of entire reservation.
- While the X Bar Ranch is under no obligation to do so, if canceled unit or spot can be re-filled, the deposit minus a $25 handling fee will be returned for any nights that are re-booked.
- Any refund due to guest is subject to $25 handling fee.
- All guests must sign a Release of Liability form upon entry to ranch.

- The Round House and Live Oak Lodge and Cabins are within 3 miles of each other and are accessible by most any vehicle.
- All quarters listed have air conditioning, heating and running hot water. One exception is the Bunkroom which does not have running water.
- In-room linens are always provided, including towels and sheets on beds in each house/cabin.
- We do not perform daily housekeeping in the cabins or guest houses.
- A full kitchen and bar-b-que grill is available at each house/cabin/lodge. Each kitchen includes at least a refrigerator/freezer, stove/oven, coffee maker (K-cup), pots and pans, plates, glasses and utensils. The lodge has an ice machine.
- Catering options for groups and special events may be arranged through the X Bar Ranch. When extra meals are not available, guests are welcome to bring food to prepare themselves, or area restaurants are available.
- The self-catered continental style breakfast consists of: K-cup coffee varieties, hot chocolate, tea, juices, hot cereal, pastries, cereal bars. No food or meals are provided to any groups such as, but not limited to, family reunions and weddings or during special events.
- All facilities are non-smoking. In limited cases, pets are allowed on ranch. Penalty fees of up to $250 per infraction will be applied for smoking indoors, having pets in facilities where they are not allowed and for excessive clean up.
